Your office relocation checklist
June 21, 2019
Moving from one office to another may not seem like a great endeavour and may seem quite simple. Unfortunately, for some, this under expectation can make the move a bit of a shock. So, at here at Crown Relocations, we have put together your ultimate ‘office relocation checklist’ to make the move as easy as possible, and to avoid any issues on the day.
Check the new office floor plan
If you’re moving office spaces, there is a good chance your new office will have a different floor plan to the one you’re in now. So, your first step in planning would be to have a look at the new office floor plan and decide how you would like to lay out your office furniture in the new space. In this step, it’s very important to keep in mind the measurements of the new space – if you over or underestimate this, things could go south very quickly on the day of the move.
Book your relocations company
This is an obvious step but worth mentioning as it’s the most important step in the process. Having an experienced relocations company on your side from the beginning will be beneficial throughout the entire process. Make sure you research and choose a company with both experience and expertise in the field. Avoid moving companies that have lower prices as this could mean a lack of quality service and you may end up with broken goods and higher costs to pay later on. Update your contact details
When you arrive and settle into your new office location, you want to ensure that all your contact details are updated with external clients and stakeholders. The last thing you want to do is lose business over changing location.
Create a moving plan for the big day
The best way to do this is to organise a staff meeting and have everyone involved in creating a detailed and organised plan for the day of the move. This way you can ensure everyone in your team is aware of the plan and is ready to do their part, so that everything can pan out seamlessly. It’s also important to take notes and make a physical, written plan that everyone can review in the days before and refer back too to prevent any confusion.
Organise and pack
Colour coding, labelling and making lists of what is in each box are all effective methods of packing in an organised way. However, it’s important to choose the techniques that work best for you and your team. You may even choose to let each department decide on their own way of packing items, because after all, they will be the ones packing and unpacking on the day.
On moving day
Moving day can be both stressful and overwhelming if you are not prepared adequately. However, if you’ve taken all the above steps, you’re certainly on the right track and are set-up for a smooth office relocation moving day. A few things you can do to make the process even easier and more enjoyable for your team are things such as:
- Allocating a person in charge of each department as a ‘leader’ (this will ensure everyone will not refer to yourself or the manager if they have questions).
- Organising refreshments for everyone to stay energised and hydrated.
- Have print outs of the plan for every individual to refer too.
If you follow this checklist, you’re sure to be set-up for a great moving day. Good luck to you and your team and remember, Crown Relocations is always here to help you with tips, advice and of course the big office relocation.
